作为 办公助理,您的部分职责将包括: 

  • 在斯塔福德溪惩教中心(SCCC)的业务办公室担任办公助理,职责可能包括: 
    • 协助业务经理监督采购到付款流程,确保所有采购订单按时发出并送达
    • 审核采购申请的准确性,跟踪已处理的订单,管理供应商差异,并主动跟进未完成的发货以确保准时交付

    • 审核会计批次的准确性,并向供应商或客户请求补充文件以确保完整的财务记录

资格要求

Location: Stafford Creek Corrections Center | Aberdeen, WA

Salary Range: $4,320 - $5,812 Monthly


This is not a telework eligible position. The candidate of choice must work in the Stafford Creek Corrections Center during all scheduled working hours.


Correctional Industries (CI) is dedicated to maintaining and expanding incarcerated individual work training programs that develop marketable job skills, promote positive work habits, and support the Department of Corrections’ mission while reducing taxpayer costs. Through these programs, CI provides meaningful work experiences that prepare incarcerated individuals for successful reentry into the workforce and their communities.


The Industries Specialist 1 | Office Assistant plays a vital role in supporting our mission by delivering exceptional customer service to Correctional Industries customers while providing hands-on skills training and work guidance to incarcerated workers. The candidate of choice will help ensure the efficient operation of assigned programs and work activities while fostering a professional environment that emphasizes accountability, teamwork, safety, and quality performance.


This position requires strong communication and interpersonal skills, a commitment to customer service, and the ability to balance operational needs with workforce development objectives. Through daily interactions and instruction, the incumbent will contribute to preparing incarcerated individuals for future employment opportunities while supporting the overall success of Correctional Industries programs.

Duties

As an Office Assistant, some of your duties will include: 

  • Acts as Office Assistant for Business Office at SCCC which could include: 
    • Assisting Business Manager to oversee the procure-to-pay process, ensuring all purchase orders are issued and delivered on time
    • Reviewing purchase requisition for accuracy Track processed orders, managed vendor discrepancies, and proactively followed up on outstanding shipments to guarantee on-time deliveries
    • Monitoring a shared inbox and corresponded with vendors to confirm pricing, track deliveries, and resolve shop or customer inquiries
    • Auditing accounting batches for accuracy and request supplementary documentation from vendors or customers to ensure complete financial records
    • Utilizing approved CI programs on OSN and state computer to complete tasks
  • Assisting the Logistics Supervisor
  • Assisting the Customer Service/Operations/Production Manager
  • Ensuring control and security of Incarcerated workers in accordance with DOC policy
  • Other work as assigned

Qualifications

What we need (required qualifications):

  • High school graduation or equivalent
  • One year working in an office or administrative work
  • Strong with Microsoft Office products
  • Ability to articulate clearly via phone, email, and in person

What will make your application stand out (preferred qualifications): 

  • Two (2) years of documented experience in LEAN principles and implementation
  • Associate degree from colleges and universities whose accreditations are recognized by the U. S. Department of Education (USDE) or the Council for Higher Education Accreditation (CHEA) in Accounting, Inventory, Business Administration or closely related field
  • Excellent oral and written communication
  • Experience in training and teaching others
  • Sales Experience
  • Experience working in a Correctional setting

Telework Details

This position may be allocated for telework. If authorized for the role, work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hotspot service at that time.  Employees are expected to perform assigned duties in a safe manner, to take proper care all state-issued equipment, and maintain confidentiality of all information in possession while working offsite.  Employees will be required to commute to a Department of Corrections facility or field office as business requires, to potentially include components of the onboarding process. Some offices will have a “drop in” area available, however, a dedicated workspace within a DOC facility will not be provided.
